Event Policies

Your well-being is IPEC's #1 priority. We have put protocols in place to protect your health and peace of mind so you can focus on getting the most out of your time at our events.

IPEC reserves the right to change these guidelines at any time and to deny entry to this event to any participant not in compliance with these guidelines.

COVID-19

IPEC is actively monitoring the incidence of Coronavirus Disease 2019 (COVID-19) in the United States. IPEC is following guidance from local public health departments and the Centers for Disease Control and Prevention (CDC) regarding face masks, social distancing, and large gatherings, including CDC recommendations on preventing the spread of COVID-19. 

At this time, upcoming IPEC events will take place in-person as planned. 

Attendees should also:

  • Socially distance when possible;
  • Stay home if sick or exposed to COVID-19; and
  • Consult with a healthcare provider about attending if you have underlying health conditions or a weakened immune system.

IPEC will continue to closely monitor news, local government, and the CDC for the most current guidance regarding gatherings.

We are hopeful that we can meet safely in-person, following the most up-to-date safety protocols.

VACCINATION

IPEC will require all in-person conference participants to be vaccinated in order to attend IPEC events. For the purposes of this guidance, people are considered fully vaccinated for COVID-19*

  • Two weeks or more after they have received the second dose in a 2-dose series (Pfizer-BioNTech or Moderna)
  • Two weeks or more after they have received a single-dose vaccine (Johnson and Johnson [J&J]/Janssen)
  • Two weeks after receipt of another vaccine authorized by the World Health Organization (WHO)

*A booster is strongly recommended but not required at this time.

Updates and reminders of protocols and the conference policy will be sent to all attendees prior IPEC events. Any changes to this policy will be reflected here.

We appreciate your understanding and willingness to be flexible while we work within the limitations set by our obligations and the current pandemic.

MASKING

Masks will are optional for attendees participating in IPEC programming.

ADDITIONAL REQUIREMENTS

In addition to the vaccination requirement, if you feel sick or are experiencing COVID-like symptoms prior to traveling to or while onsite during an IPEC meeting, we ask that you not participate in the conference in person.

BEFORE AN IPEC MEETING
  • Follow current guidance provided by the CDC and your local health authority.
  • You should not attend an IPEC meeting if you are experiencing, or within the 10 days prior to the conference have experienced, symptoms associated with COVID-19.
  • If you do not feel well, protect yourself and others and stay home. You should not attend any IPEC event if you have been diagnosed with COVID-19 within 5 days prior to the conference.
  • Follow travel restrictions and guidance issued by the region you are traveling to and from.
  • Follow guidance from CDC and local health authorities to minimize the spread of viruses. The steps that you should take include:
    • Wash your hands regularly and thoroughly for at least 20 seconds.
    • Sanitize hands regularly throughout the day.
    • Alert IPEC staff or venue staff if you feel unwell, start experiencing symptoms, or test positive for COVID-19 during an IPEC meeting.
AFTER AN IPEC MEETING

If you test positive for COVID-19 up to 14 days after your departure from an IPEC event, please contact IPEC staff immediately. Please contact IPEC Asociate Director, Shelley McKearney at [email protected] if you have any questions.

Cancellation & Refund Policy

Should registration numbers not be robust enough to support a meaningful experience for all attendees, IPEC has the right to cancel the conference. For events that are canceled due to any other event that is beyond our control (Act of God, etc.) IPEC will refund all registration costs. IPEC will not be responsible for refunding other costs incurred by attendees connected to attending the event.

COVID-19 Refunds: We understand that we are living in a world where large in-person events are being guided by local health authorities. In the event public health dictates that we are not able to gather and IPEC is forced to cancel the event, we will refund registration fees (less a $25 administrative fee).
